We’re working with a leading London-based university to find a proactive and detail-driven Operations Support Officer to join their Estates and Facilities team.
As a recruitment partner for the university, we’re looking for someone who thrives in a fast-paced setting and is confident managing helpdesk systems, raising purchase orders, and supporting a broad team of estates professionals.
The Role
Working as the first point of contact for Estates and Facilities queries, you’ll be a key player in maintaining smooth day-to-day operations across Infrastructure, Development, Commercial Services, and Facilities Management functions.
Your responsibilities will include:
- Managing the in-house helpdesk and job management systems (ASK, Invida)
- Logging and assigning jobs, liaising with contractors and internal teams
- Raising and processing purchase orders, obtaining quotes and liaising with suppliers
- Supporting compliance with the permit-to-work system and contractor coordination
- Producing reports and assisting with SLA monitoring
- Providing general admin support across Estates – including Operations, Catering, Support Services, Minor Works, and Asset Risk teams
What you’ll bring
We’re looking for someone who can hit the ground running and make a difference from day one. The ideal candidate will have:
- Proven admin experience in an estates, facilities, or helpdesk environment
- Excellent communication skills and a customer-focused attitude
- Strong multitasking and organisational abilities
- Proficiency in Microsoft Office, especially Excel
- Good understanding of purchasing, invoicing, and supplier liaison
- Minimum 5 GCSEs (incl. English and Maths) + 2 A-Levels or equivalent
- A proactive, flexible approach and the ability to manage competing priorities
Desirable but not essential:
- Experience working with helpdesk or permit-to-work systems
- Familiarity with Business World or similar financial platforms
- Previous experience in a university or large public institution
